1. When Pre-Shipment Inspection Should Occur

5. Inspection Documentation Requirements

A complete hotel linen PSI report must include: date and time of inspection, inspector name and qualification, factory name and address, purchase order reference, product description and specifications, total order quantity, quantity presented for inspection, quantity inspected (per AQL sampling), detailed defect list, accept/reject decision per AQL, photographs of representative defects and overall lot condition, on-site test results with equipment used, carton drop test results (ISTA 1A or equivalent), and a clear final disposition (Pass/Fail/Pass with corrective action required). The report should be delivered within 24 hours of inspection completion.

6. When Inspection Fails: Next Steps

A failed PSI is not the end “ it is the beginning of a corrective action process. Step 1: identify whether defects are random (scattered) or systematic (same defect repeating). Random defects at borderline AQL: request the factory sort and rework, then re-inspect. Systematic defects: the factory must correct the root cause and reproduce the affected quantity “ typically 7-14 days. Step 2: negotiate cost responsibility. Step 3: adjust the shipment schedule. Step 4: re-inspect after corrective action. Step 5: document everything for potential claims history.
